BidTroller

How it works

Set it up once. The list shows up every morning.

You give us your offices, your service area and one forwarding rule. After that, BidTroller does the looking.

Where the jobs come from

  • Public procurement portals and agency websites across your service area, checked every day.
  • The daily digests from lead services you already pay for, sent by a forwarding rule. We never log in to those services.
  • Bid invitations from general contractors, forwarded to the same address by a rule or by hand.
  • A health check on every source. If one fails twice in a row, it raises an alert the same day.

How the list gets cleaned up

  • Every listing is checked for fence work. A job where fence is the main scope is tagged apart from a GC package with fence as one line item.
  • Duplicates are merged. One job shows up once, with every place it was posted listed on it.
  • Each job is measured from each of your offices.
  • Bid dates, pre-bid meetings and question deadlines are stored in the right time zone, and text is pulled from the attached PDFs, scanned plans included, so search reaches inside them.

How it reaches your team

  • A 6 a.m. digest to whoever you choose, plus an alert the moment a big job or a short bid date shows up.
  • Each estimator sets their own rules for size, distance and how often they hear about it. Nobody gets the same job twice.
  • A dashboard with filters and sorting on every column, saved views and full-text search.
  • A page for every job with the bid packet attached, one click to download all of it, and a calendar keyed to bid dates.

How you keep track

  • Each job moves from new to reviewing, pursuing, bidding, submitted or no-bid, with notes and a history.
  • A record of who opened each job and what they decided.
  • Owner, admin, estimator and viewer roles, so each person sees what they need.
  • An export that matches the columns of the bid calendar you already keep.

How we read public sites

Our crawler names itself, follows each site's robots.txt and limits how often it visits. Site owners can see exactly what it does.
