Forwarded email isn’t showing up
You forwarded a bid email, or set up a rule, and the job isn’t on your dashboard. Start with the Setup page: it shows what has actually arrived.
Check the Setup page
Open Setup at the top of any page (/app/setup). Anyone at your company can see it. The Is it working? box shows:
- How many forwarded emails have arrived, and when the last one came in. If it says Nothing has arrived yet, no forwarded email has reached BidTroller.
- A line for each service: ConstructConnect, Dodge, BuildingConnected, PlanHub, SmartBid, Public Purchase, and GC invitations (including iSqFt). Each shows a ✓, how many emails, and the last one, or nothing yet.
Services you don’t use stay empty, and that’s fine. If one you do use stays empty after a day, check that its sender is in your rule. The sender list is in Email forwarding.
How long it takes
A forwarded email is usually read within a few minutes. If anything slows it down, BidTroller tries again every 10 minutes. A new job can show Not checked yet under Fence fit for a little while after it appears. That check runs every 15 minutes.
Nothing has arrived at all
- Microsoft 365 bounce. If the mailbox got an “Undeliverable” message saying your organization does not allow external forwarding, see Forwarding blocked by Microsoft 365.
- Wrong address. Copy your address from Setup with the Copy button. Mail to an address that doesn’t match a company never reaches your dashboard.
- Gmail isn’t verified yet. Gmail won’t forward until you enter its confirmation code. The code shows on the Setup page under Gmail confirmation codes within a few minutes of adding the address in Gmail. Refresh the page to check. You can also click Confirm in Google instead. See the Gmail steps in Email forwarding.
- The rule doesn’t match. Check the senders in the rule’s From condition, and that the rule is turned on in the mailbox that gets the bids. Each mailbox needs its own rule.
The old address and the new one
Your company’s address on Setup looks like feed+yourcompany-k7m2p9x4qa@in.bidtroller.com: your company name, then a code that is yours alone. Mail to it is accepted from any sender, which is what lets forwarding rules work from any mailbox.
Some companies started with a shorter address, feed+yourcompany@in.bidtroller.com. It still works, but only for email from your own team’s addresses and the forwarding mailboxes BidTroller has on your list. Anything else sent to the short address is held, unread, and doesn’t count on the Setup page.
- If a rule still uses the short address, change it to the full address from Setup.
- If you think some of your emails were held, tell us on the Feedback page. BidTroller can release the real ones.
It arrived, but there’s no new job
- The job was already on your dashboard. BidTroller merges the same project from different sources into one job, so the email adds a line under Found on instead of a new row.
- The bid date has passed, or the job is Submitted or No bid. The dashboard hides those by default. Set Bids due to Any date, or tick All under Status. See The dashboard.
- A filter is hiding it. Click Clear on the dashboard, then search for a word from the project name.
- There was no bid in it. Newsletters, receipts and other non-bid email arrive but don’t make a job.
- An attachment is missing. Files that look unsafe, single files over 25 MB, or more than 75 MB of files in one email are not stored.
Still stuck? Send it on the Feedback page with the email’s subject and the time you forwarded it.
